USF Repository Frequently Asked Questions 

When will my work be available in the repository? 

  • Gleeson Library staff will typically publish your work within 3-4 weeks of receipt. You will receive an automated message including the URL of your published work once processing is complete. If we have any questions about your work, we will let you know.

What is an an embargo?

  • An embargo is a hold we can put on your project so users won't be able to download or view the pdf of your work
    for the amount of time specified.

During the publishing process, what does the library review? The library reviews for: 

  • Complete and correct metadata: we confirm that the title, author name and email, USF affiliation, degree, department, advisor, all "required fields" are complete
  • The legibility of the full text 
  • Confirming that the submission was intentional and came from a USF community member
  • That the submission has been submitted to the correct category (e.g., DNP Projects vs. DNP Qualifying Manuscripts)

During the publishing process, what is outside the library's review process?

  • Monitoring whether student submissions adhere to college/department timelines or college/department guidelines
  • Spelling or formatting in the manuscript
  • Editing submitted PDFs to attach missing paperwork - students must submit an entire, complete PDF
  • Making excessive or highly detailed edits to metadata, or accepting multiple revisions of the PDF manuscript. Work should be final and complete at the time of submission
  • Commenting or providing feedback on the standard or quality of the work
  • Any information concerning the granting of degrees or grades

If I have questions about my submission, who should I contact? 

  • If you have questions about your submission, you can email repository@usfca.edu, but please wait until the 3-4 week processing period has elapsed before contacting repository staff.
