This Guide was created to help librarians, staff, and other parties navigate the setup process for hybrid ("Hyflex") modality courses via Zoom. This Guide was developed under the assumption that the presenter would be utilizing a separate laptop to presen

Setting Up Your Tech

Where can I pick up Jeremy?

"Jeremy" the MeetingOwl3 is currently housed in Gleeson's Electronic Classroom, GL139. While all librarians and staff members are welcome to use the MeetingOwl, please contact the Instruction & Outreach Library Assistant via Slack or email before using or removing the MeetingOwl from the classroom.

Booting Up Your Meeting
  • Turn on the Projector at least five minutes ahead of class; this is to ensure your presentation can begin without a hitch.

    • Select "Projector Mute" on the side tablet until you are ready to present

    • Open the Zoom Application

    • Place the Owl on the left-hand side table; the side table can be erected with one motion and will lock automatically once perpendicular to the desk.

    • Plug the Owl's USB-C chord into your laptop; this can be found in the Owl's storage box.

Setting Up Your Mic
  • Click on the small arrow next to the Mic button to select MeetingOwl as your Mic.

    • Note: The MeetingOwl 3's microphone is exceptionally sensitive and can reliably pick up voices from across the room. Side conversations and other disrupted noises will also be amplified.

    • Recommendation: Notify your class accordingly.

Setting Up Your Speaker
  • For your Speaker, re-select the Mic's drop-down arrow and select "ExtronScalerD"; this will set the classroom's overhead speakers as your audio output.

Setting Up Your Camera

There are two key considerations when using the MeetingOwl 3 as your dedicated camera during instruction:

  • [A] For a classroom-wide view, select "Meeting Owl" as your camera; this will provide a 360° view of the classroom. This is particularly useful for large group gatherings.

    • This will also show a view of you as the main subject when you are actively speaking.

    • Note: As mentioned before, the Owl's mic is very sensitive and sa the camera is guided by sound, any external noise may trigger a split-screen view for the remote audience.

      • When audience members speak loudly enough, the vamera will create a split-view between the two perceived speakers.

      • Recommendation: Save audience questions until the end of the session to avoid constantly shifting views for the remote audience.

  • [B] For those participating remotely, it is recommended that they keep their microphones MUTED while the instructor is presenting and use the "Raise Hand" function if they wish to contribute.

Recommendation: Use Laptop for expanded functionality (as opposed to the lectern's native computer). This method is only available on Mac computers.
  • Set Up Overhead Projector as a second display for dual monitor functionality.

    • Go to "System Settings"

    • Select "Displays"

    • Add Display with "+" drop-down button and select "ExtronScalerD"

      • Set your personal computer as "Main Display"

      • Click on the separate display "ExtronScalerD" and set it as the "Extended Display". (This is now the projected display for the lectern and overhead projector.

    • Arrange Displays

      • Select "Arrange" option

      • Drag the ExtronScalerD icon to the right side, aligning the displays with the physical arrangement for easy switching between the two displays.

Now you're all good to go!
